2018 AGM

The 2018 Falkirk and Linlithgow Annual General Meeting will take place on Wednesday 16th May at 7:15pm within the function suite of Sportsters, Princes Street, Falkirk.

All club members, and the parents/guardians of junior members, are encouraged to attend to receive reports from the committee, updates on the plans for the club going forward, and vote* on the composition of the new committee.

Nominations for committee positions need to be submitted to the club Secretary (Duncan Service - secretary@falkirkandlinlithgowhockeyclub.co.uk) 15 days prior to the AGM (1st May 2018). Any proposals to be considered at the meeting, e.g. amendments to the constitution, also need to be submitted to the Secretary 15 days prior to the meeting.

*Only ordinary and honourary club members of the club will be permitted to vote, in accordance with section 6a of the constitution. Any ordinary members that are not up to date with their fees will also be excluded from voting.

Nominations shall be considered for ALL committee positions, which are detailed below. Detailed descriptions of the main positions can be found in the "Governance and Documents" section of the website.

  • Chairperson – To chair executive committee meetings and general meetings and lead the Club in the pursuit of the objectives laid out in the constitution.
  • Vice Chairperson – To deputise for the Chairperson at meetings and to assist the chairperson in pursuing the objectives of the Club as laid down in the constitution.
  • Secretary – Will be responsible in keeping the records of the Club and of meetings and will be the main contact for correspondence for the Club and will ensure members are registered appropriately with Scottish Hockey and East District. The secretary will normally attend East District meetings and ensure that members of the Executive Committee are kept up to date with any requirements from Scottish Hockey or East District.
  • Treasurer – Will be responsible for producing the annual accounts, and will manage the bank account on behalf of the Club. The Treasurer will also propose the annual subscription fees and will inform the Executive Committee of any members who have not paid their fees.
  • Registrar – Will keep an accurate record of all the people who have played for the Club and assist the Treasurer in ensuring that all members have paid their fees. The Registrar will also assist the Secretary in ensuring that all players are appropriately registered with Scottish Hockey and East District.
  • Fixtures Secretary (men) – Will ensure that pitches are available for all matches scheduled. The Fixtures Secretary will liaise with other Clubs to ensure that the order of play is confirmed and will advise the details of all home matches to the opposition in accordance will league rules. The Fixtures Secretary will notify team captains of their game times. The Fixtures Secretary will also help to arrange friendly matches for the Club in cooperation with the team captains. The Fixtures Secretary will also ensure any games which are cancelled are rearranged as soon as possible. The Fixtures Secretary will assist the 1st XI Captain with National League fixtures but the responsibility for contacting opposition and umpires will normally lie with the 1st XI Captain unless otherwise agreed at an Executive Committee Meeting.
  • Fixtures Secretary (women) – Will ensure that pitches are available for all matches scheduled. The Fixtures Secretary will liaise with other Clubs to ensure that the order of play is confirmed and will advise the details of all home matches to the opposition in accordance will league rules. The Fixtures Secretary will notify team captains of their game times. The Fixtures Secretary will also help to arrange friendly matches
  • for the Club in cooperation with the team captains. The Fixtures Secretary will also ensure any games which are cancelled are rearranged as soon as possible.
  • Umpiring Convenor – Will ensure that umpires within the Club are supported and will liaise with the District and National Umpire Convenors to arrange training and assessment of umpires.
  • Communications Officer – Will coordinate the Clubs social media presence and website to ensure that up to date information is available to club members. The Secretary, Team Captains and Fixtures Secretaries will ensure that information is passed to the Communications Officer in a timely manner to allow for effective communication.
  • Fundraising Officer – Will coordinate the Clubs fundraising activities and will involve all interested Club members in help to make fundraising activities successful.
  • Child Protection Officer - recognised and qualified individual who is the first point of contact for any child protection issues. Maintains club governance list of qualifications, such as first aid, PVG and coaching.
  • Junior Convener - will be responsible for maintaining a rota to ensure sufficient coaching availability for junior coaching sessions, registration is completed for each session, and all junior members are registered on the club website. Will also ensure Junior pathway is supported.
  • Parent/Guardian Representative - liason between club committee and parents of junior members.
